Add meeting context and specialist keywords to Transync AI before a translation session. This tutorial shows how to set preferred translations, upload a keyword CSV, and describe the meeting topic.

1. Add the terms your meeting will use

Open AI Assistant and turn on the knowledge base before you start translating. Use the plus button beside Keywords to add a Hot word. Enter a name, product, or specialist term, then choose Add. Keep this list focused on the vocabulary you expect to hear. Longer explanations belong in the Context field.

2. Specify a preferred translation

Choose Word plus target when a term needs a particular translation. Enter the source term and its preferred equivalent, then add the pair. Review the purple tag to check that both terms appear with an equals sign between them. This step is useful when your team already uses an agreed translation for a technical term.

3. Import several keywords with a CSV

Download the CSV template from the keyword menu and enter one keyword per row. Leave the target empty for a keyword alone, or include its translation. Choose Upload CSV, review the imported terms, and select Add. Check the list before moving on to meeting context so names and preferred translations are ready together.

4. Add meeting context and check your setup

Describe your role, industry, and the subject of the conversation in Context. For example: “I manage logistics. This meeting covers shipping documents and delivery dates.” Keep individual terms in Keywords and longer background in meeting context. Check the character counters, use a model that supports AI Assistant, and complete these settings before translation starts. Close the assistant to save your changes.

Open AI Assistant and turn on the knowledge base. Complete your setup before starting translation, and use a model that supports AI Assistant.

Set up keywords and context before your next meeting. In the main window, open AI Assistant and turn on the knowledge base. Click plus beside Keywords. Choose Hot word, enter a keyword such as Northstar, then click Add. Use this for names, products, or technical terms.

To set a specific translation, click plus and select Word plus target. Enter your term and the translation you want. Here, Bill of lading is paired with the Chinese term shown. Click Add. Check that the new purple tag shows both terms, joined by an equals sign.

For bulk uploads, click plus and download the CSV template. Add one keyword per row. Leave the target empty, or add its translation. Choose Upload CSV, review the terms, then click Add.

Next, add your role, industry, and meeting topic in Context. For example: I manage logistics. This meeting covers shipping documents and delivery dates. Keep keywords short and put longer background in Context. Check the character counters, and use a model that supports AI Assistant. Complete these settings before translation starts. Close the assistant to save your changes. You're ready for the meeting.
